Maine Stockroom

Features & benefits

What Maine Stockroom does

Explore every main tool, how it helps your business, and what to expect. Start with a free pretend store; use a paid business workspace for your real information.

Inventory & stock counts

Know what is on the shelf and what needs attention.

  • Search products by name, Maine item code or UPC; choose which items your business tracks.
  • Record deliveries, purchase costs, bottle sales, physical counts and damaged or lost stock.
  • See on-hand quantities, recent activity and estimated inventory value; set a reorder level for each product.
How this works

Inventory reflects the entries you make or import. It is not a live connection to your cash register.

Dated Maine Spirits catalog

Find products and see where each price came from.

  • Browse the official catalog with product codes, sizes, proof, listed retail prices and agent costs where available.
  • See the source month and effective dates of monthly specials; official file checks run daily.
  • The app blocks retail bottle sales and business-order submission when required prices are outdated or unverified.
How this works

State price files can change. Review the date shown; prices exclude applicable deposits and tax. Daily checks do not guarantee a new file will be available.

Restocking & order sheets

Turn low-stock items into a practical purchasing plan.

  • See tracked products at or below their reorder levels.
  • Use suggested bottle quantities based on twice the reorder level, then adjust your plan.
  • Save named order sheets with quantities, supplier details and notes; export planning lists.
How this works

Planning sheets do not place an order with Maine Spirits or an outside supplier.

Buying comparisons & price watchlists

Compare the choices your business is considering.

  • Compare listed costs, retail prices and monthly specials; see bottle-size comparisons where units are compatible.
  • Build groups of approved well alternatives or different sizes of the same product.
  • Keep a price watchlist and review supplier service profiles, delivery terms and special requests.
How this works

Comparisons use available catalog values and your selected products, not a guarantee of supplier availability or savings.

Business customers & supplier connections

Keep your trade relationships and review steps organized.

  • Use separate workspaces for retailers, licensed reselling agents, and restaurant or bar buyers.
  • Connect businesses, review customer license details and resale-certificate information, and approve eligible connections.
  • Record supplier delivery days, pickup options, service areas, cutoffs and accepted payment arrangements.
How this works

Business details are supplied and reviewed by users. Maine Stockroom does not verify licenses directly with the State or create supplier agreements.

Trade Network & messaging

Keep wholesaler and retailer conversations, files and product questions attached to the business relationship.

  • Private message threads are limited to connected businesses and their authorized team members, with unread counts and conversation search.
  • Link messages to an existing order or Maine Spirits product; Price Watch includes an Ask supplier shortcut.
  • Share private photos, PDFs, text/CSV files, Word documents and Excel files with connection checks on every open.
  • Receive live in-app updates; each team member can opt into email alerts, and browser alerts work while Maine Stockroom is open.
  • Wholesaler owners and managers can send announcements, including attachments, to every approved customer connection.
How this works

A supplier relationship must be approved before direct messaging opens. Email alerts never include private message contents. The current hosting platform does not provide closed-app web push, so browser alerts require Maine Stockroom to remain open in a browser tab.

Supplier Orders

Use the correct Maine spirits ordering channel for your license type.

  • Bars and restaurants connect to approved licensed reselling agents, build orders from current bottled products, submit them in Maine Stockroom and track confirmation through completion.
  • Agency retailers connect only to an owner-verified wholesale spirits provider account; those orders use the current official agency cost rather than the on-premise retail-price lane.
  • Suppliers can review the buyer license or provider authorization, approve connections, confirm orders, mark them ready, and finish the appropriate fulfillment workflow.
  • Completed retailer wholesale-provider orders can be received into agency inventory once, while reselling-agent orders retain the existing invoice-linked receiving workflow.
  • If the State wholesale provider is not connected to Maine Stockroom yet, agency retailers still have one-click access to the official Maine Spirits agent ordering site.
How this works

Maine Stockroom keeps the agency-retailer/bureau-wholesale lane separate from the on-premise/reselling-agent lane. The wholesale-provider account is not self-selected; Maine Stockroom owner verification is required before retailer connections can use that channel. Maine Stockroom does not claim to submit into an outside State/provider system unless that provider has connected or an authorized API is available.

Business orders & fulfillment

Follow an order from the request to the completed sale.

  • Create orders between connected businesses using the app’s catalog and listed prices.
  • Review orders and track their status and history; use stock-linked fulfillment.
  • Create special requests for connected suppliers and track responses and request status.
How this works

Both businesses must use the relevant connection and review workflow. The site does not automatically send orders to unrelated supplier systems.

Invoices & payment records

Keep the paperwork alongside the transaction.

  • Create invoices from completed business orders, with item, deposit and tax amounts shown separately under the app’s configured rules.
  • View or download invoice records and record payments received outside the site.
  • See invoice balances and payment history; record purchase receiving against your planned items.
How this works

Recording a payment does not collect money or move funds. Stripe checkout is for the Maine Stockroom membership, not liquor orders.

Reports & activity history

See the numbers behind your daily operations.

  • Review purchases and sales entered in the last 30 days, inventory value and low-stock counts.
  • Open monthly reports, stock activity, buying comparisons and report packets.
  • Download records for your own review or bookkeeping.
How this works

Reports cover information entered or imported into Maine Stockroom. They do not replace your full accounting records or tax advice.

CSV imports & exports

Move supported records without retyping every line.

  • Import supported inventory and activity files using the app’s required columns and review steps.
  • Use CSV files from your POS when they can be mapped to the supported format.
  • Export inventory, activity, planning and other available business records.
How this works

No direct POS, bank or carrier integration is connected. The free demo can read a supported inventory CSV locally for review and practice; it does not upload the file. Signed-in workspaces use their own documented import formats.

Private workspaces & team access

Give each person the level of access they need.

  • Keep business records scoped to the signed-in business; share trade records only with the connected parties.
  • Invite managers, staff and viewers, and remove team access when needed.
  • One business membership covers its team. Choose monthly or yearly billing, and manage cancellation in the subscription portal once billing is activated.
How this works

The business owner manages the membership. Team invitations are accepted on the site; automatic invitation emails are not currently provided.

Maine Stockroom AI operations assistant

Ask your business data a question instead of hunting through screens and reports.

  • Ask what is low, what should be reordered, which current Maine Spirits specials matter, or what recent stock activity needs attention.
  • Ask about recent business orders, invoice balances and Trade Network activity using only the signed-in business’s records.
  • Ask “how do I…” questions and get directed to the correct Maine Stockroom workflow.
  • The assistant is read-only by design: it can analyze and explain, but it cannot silently change inventory, place orders, record payments or send messages.
How this works

AI answers depend on the records your business has entered and the current data available to Maine Stockroom. The assistant uses a configured AI service, is business-scoped, and has fair-use limits to control cost and abuse. Regulatory, licensing and tax questions still need confirmation from the appropriate authority or professional.

What still needs setup

Membership checkout: Stripe sandbox checkout is connected for end-to-end testing. Real charges remain off until the live billing configuration is separately activated after testing.

Scheduled report emails: The report tools are available, but automatic delivery is not yet enabled.

Outside services: No direct POS, supplier, bank or carrier connection is included. File imports and in-site records support the documented workflows.

Guest privacy: The demo stores no inventory entries or business records. It uses sample data and resets on reload; the website host may still keep routine access logs.
